Security

At surescan we pride ourselves on providing first class service to all of our customers. One of the major concerns for most of our clients is security. We will work with our clients ensuring that we provide secure environments for the storage of all their documents and files. We have worked with many clients in the banking and financial services sectors and they have been extremely satisfied with the security standards we adhere to.

All documents that are held off-site or electronically are held in a secure, safe environment. Our new client web-site has been designed for our customers, so they can conveniently logon to retrieve scanned documents and images. The web-site is of course secure and password protected. Each client will be issued with their own user name and password.

As we are aware that one of the main concerns of our customers is security, we have worked very hard to ensure that our services comply to the many standards of our industry, reassuring our clients at all times that security is very high on our list of priorities. We take this issue very seriously and all of our staff have signed confidentiality agreements and surescan works to the Data Protection Act of 1988.

We also work with Organisations such as “The Association for Information and Image Management”, “Records Management Society”, “Business West” and the “Criminal Records Bureau”.

We have a quality procedure and work to operational procedures and software in accordance with Quality Manual and code of practice BSI-Disc PD0008 and 1999 operational procedures in accordance with BS ISO 15489 Parts I and II.

The Records Management Society guidelines are adhered to and we work to the standards and guidance of all aspects of the Records Management as published by the Public Records Office. In addition to this we work to the Freedom of Information Act 2000.

Surescan provides a free planning and consultancy service
  • Our skilled staff will work with you to identify your specific requirements. At this stage, surescan can identify a variety of options in order to achieve maximum effectiveness.

Surescan offers a complete cataloguing service
  • We can provide you with the appropriate Access database or Excel spreadsheet for example, detailing important information such as ‘document descriptions’, ’invoice numbers’ etc.
  • Cataloguing gives you a record of your documents that can be retained as a database, is an effective and responsive search facility and also provides crucial information for the ongoing offsite storage of documents.
  • This service will be designed to suit the needs of your company. Our experienced staff will work with you to identify the most appropriate method of cataloguing.

Surescan returns the documents after scanning on the clients preferred digital media
  • As well as the use of CD Rom, DVD, Portable Hard Drive etc. images can also be posted to a secure website with password protection for retrieval as required. Over a network, client’ PC’s gain access to images by intranet or extranet.
  • Surescan will also keep a backup of the digital documents after the scanning if required. This ensures that valuable physical documentation held on your site can always be retrieved or re-created after loss or destruction.
  • We can also arrange for the storage of the paper documents in a secure offsite storage facility or will return the documents promptly to you as required. Alternatively the confidential, secure and safe destruction of documents can be carried out on request.
  • Secure storage of back-up media containing client images ensures that valuable documentation held on a client site can always be re-created.

The Process

Surescan captures images of documents from post-it-notes as well as A5, A4, A3, A2, A1 and up to size AO
  • The use of sophisticated hardware using the latest scanning technology enables the production of the highest quality images. surecan have recently introduced services for microfiche scanning, microfilm scanning and Aperture cards.
  • The implementation of the latest software technology (i.e. ‘Perfect Page’ and iThresholding’) also ensures image optimisation.
  • Backscanning projects can be undertaken as well as ongoing scanning in black & white and colour, with images produced in the format required (i.e. tiff and pdf).
  • To ensure ‘best quality service’ at all times, continuous quality checks are made in accordance with the surescan Quality manual.
Surescan provides search programs free of charge to enable effective retrieval of images
  • Document Management software solutions, ranging from basic up to highly sophisticated systems, can be suggested for clients who do not wish to use their own existing software.
  • Full text searches may be utilised for documents which have been OCR’d, forms recognition for those documents which have been processed, bar code recognition for those documents which have been coded etc.
  • Clients may wish to use their own existing Document Management Software.
  • surescan can also provide or suggest the most appropriate imaging software and consumables to fully meet each clients needs.
Surescan applies indexing as required to the images created
  • The appropriate degree of detail is produced to enable you to manage your information efficiently and effectively.
  • Indexing can also be tailored to the requirements of existing document management systems as well as being suited to individual company needs.
  • Index fields, bookmarks, OCR (optical character recognition), bar coding, forms and data processing are but a few of the options that surescan can offer.
  • The indexing options range from very basic search programs up to very detailed search systems.
  • Staff are highly experienced to ensure that extreme accuracy is applied throughout the process.
